Google Groups


Google Groups is a feature of Google Apps that makes it easy to communicate and collaborate with groups of people—such as project teams, departments, and special-interest groups. A group is like a mailing list: It contains the email addresses of its members, but also has its own address. By using one email address for the group, you can:

  • Send email to group members

  • Invite group members to meetings

  • Share your content (e.g., Google documents, sites, videos, and calendars) with group members

But that's not all! Google Groups also includes these useful features:

  • My Groups—Lists all the groups you belong to or have manager rights to. Here's where you can manage your own group memberships, adjust list settings, and read posts.  

  • Browse All —Lists all the groups in our Appalachian domain that agreed to be listed in the directory. This is also where you choose to join new groups

  • Discussion Archives — Most groups are set up so that the communication between group members is saved so you can read past messages.

Has its own email address (group-[name] and website.  

Is only visible to the account owner via Gmail Contacts

Any member with permissions can send messages to the Group and use the Group to share files via Drive

Best Practices

  • If you are in a public group, be careful about what kind of information you share. See the Google Security page for more information about what can and cannot be shared.

  • Sending large attachments in emails to Groups is not recommended. Instead, add the attachment to Google Drive first, and then link to it in the email OR put information on a website and provide a link to the website

  • Be mindful of Google Groups Limits:

    • 10 external member (non-App State) invitations at one time

    • 500 external member  (non-App State) invitations per day per group

    • 100 external member (non-App State) additions per day per group

    • 100,000 external recipients per day for the ENTIRE DOMAIN (approximate)

    • 300 new messages/5 minutes accepted per group

    • 2.4 GB for an hour - max total GB for all group messages -- which is why we strongly discourage sending attachments and suggest sending a Google Drive Link or posting information on a website.

  • All google groups  will have an address format as follows:
    • group-<groupname>

    • Please note that groups created in personal or consumer Google accounts will not be supported.
