Emptying Email Trash

This how-to describes the process of logging into the Appalachian email system and emptying or deleting your email trash. This process will increase the available space for storing email.

Disk Quota is a major part of using email at Appalachian.  When users go over their allotted email space it causes them to miss messages because they cannot receive more messages while they are over quota.  A good way to manage your quota is to make sure your Trash folder is empty of deleted email.  You should never store messages that you want to keep in your Trash folder.  Below are instructions for some popular mail clients of how to have your account automatically empty your Trash folder when you exit email.

AppalNet

Log into AppalNet, choose Email, choose Options, then choose Settings.  You should see the heading “Deleting Messages from Folders”.  Mark the option to “Move deleted messages to folder Trash”.  Next, check the box that reads “Empty messages from this folder on logout.”   The following is an example of this page:

Go to http://appmail.appstate.edu. Log in with your username and password.  Choose Options, then choose Settings. You should see the heading “Deleting Messages from Folders”. Mark the option to “Move deleted messages to folder Trash.” Next, check the box that reads “Empty messages from this folder on logout.” The following is an example of this page:

Mozilla Thunderbird v. 2.0.0.9

By default Mozilla Thunderbird is configured to move deleted messages to the Trash folder.  To purge your trash folder automatically when closing Thunderbird follow the setup instructions below:

  • In Thunderbird select the “Tools” menu and then select “Account Settings”:
  • Select “Server Settings” and place a check in the box that reads “Empty Trash on Exit”
  • Click “OK” at the bottom of the screen

To delete mail on Exit in Mac Mail follow the below instructions:
  • Select the “Mail” menu and select “preferences”.
  • Select the “Accounts” button
  • Select the “Mailbox Behavior” tab.
  • Place a check in the box that reads:  Move deleted messages to the Trash mailbox.
  • Adjust the setting below to read: Permanently erase deleted messages when: Quitting Mail
  • Click the red close button and save your changes.

Microsoft Entourage 2004 for Mac

In Entourage select the “Tools” menu and then select “Accounts”

Select your account and click the “Edit” button.

Select the “Advanced” tab and place a check in the box that reads “Empty Deleted Items folder on quit.”

Click OK at the bottom of the screen.

Mozilla Thunderbird for Mac

  • Select the “Tools” menu then select “Account Settings”
  • Select Server Setting under your account.
  • Place a check in the box that reads:  Empty Trash on Exit.
  • Click OK at the bottom.
